Role and Responsibilities

As an Executive Assistant supporting the CEO at an innovative tech startup, your primary role will be to enable the executive team to operate at peak productivity. You will act as a strategic partner, managing complex calendars, coordinating meetings, and ensuring seamless communication across internal teams and external stakeholders.
Your responsibilities will include:
  • Proactively anticipating the CEO's needs and managing day-to-day executive operations.
  • Organizing and prioritizing demanding workloads, including scheduling, travel arrangements, and special projects.
  • Facilitating communication by drafting correspondence, preparing presentations, and managing confidential information with utmost discretion.
  • Coordinating with cross-functional teams to drive initiatives forward and ensuring deadlines are met.
  • Handling expense reporting and other productivity processes with a high level of accuracy.
  • Adapting to last-minute changes and working efficiently under pressure in a fast-paced startup environment.
This role requires a highly organized, proactive individual capable of working independently while maintaining a positive and solutions-oriented attitude.

Candidate Profile and Required Skills

We are searching for a seasoned Executive Assistant who brings a blend of experience, emotional intelligence, and strategic thinking to their role. The ideal candidate has at least 6 years of professional experience post-college, including a minimum of 2 years serving as an Executive Assistant to a CEO or senior executive within a tech startup or venture capital environment.
Key qualifications include:
  • A Bachelor's degree or equivalent professional experience.
  • Exceptional proactive mindset and ability to operate autonomously, quickly gathering context and data to solve problems.
  • Strong emotional intelligence, empathetic relationship-building, and effective interpersonal communication skills.
  • Meticulous organizational skills with a proven track record of managing multiple concurrent projects and meeting tight deadlines.
  • High professionalism, discretion, integrity, and the ability to handle confidential information with care.
  • Excellent verbal and written communication skills, capable of representing the CEO and company professionally.
  • Advanced proficiency with productivity tools such as Google Workspace, spreadsheets, and expense reporting software.
  • Adaptability and flexibility to manage shifting priorities, last-minute changes, and fast-changing environments.
  • A positive, optimistic outlook and a self-starter mentality.
  • Strategic thinking and problem-solving capabilities to anticipate and mitigate challenges.
This role demands a high degree of professionalism and emotional intelligence combined with exceptional organizational and communication skills to effectively support executive leadership in a high-impact position.

Preferred Qualifications and Skills

While not required, additional desirable qualifications include experience working directly in venture capital firms or startups undergoing rapid growth phases, familiarity with tools beyond Google Workspace such as Notion or Asana, and experience managing international travel logistics. Candidates with multilingual capabilities and a demonstrated capacity for leadership or mentorship in administrative roles will have a competitive advantage.
