Key Responsibilities

  • Document Management: Create, organize, and maintain digital client files with strict adherence to organizational standards, including document naming and removal of outdated materials.
  • Client Interaction & Case Management: Collect and verify all required client documentation, communicate effectively with clients to gather missing information, and prepare client correspondence such as approval and congratulatory letters.
  • Form Preparation: Draft and complete government immigration forms, questionnaires, and petitions accurately, ensuring all exhibits and documentation are correctly compiled.
  • System Updates: Regularly update client profiles, case notes, and communications within Salesforce and other CRM systems to maintain accurate case records.
  • Administrative Support: Coordinate tasks such as translation requests, educational evaluations, and liaise with team members to manage daily and weekly goals.
  • Compliance & Organization: Stay informed on current immigration law developments, ensuring all case procedures comply with legal standards and best practices.

Job Description & Requirements

We are seeking a detail-oriented Paralegal (Legal Assistant) to join our client’s immigration law team. The ideal candidate will possess a Bachelor’s degree in law or a related field or an equivalent combination of education and relevant law firm experience spanning 1-3 years. Exceptional organizational skills and accuracy are essential for managing sensitive immigration cases and documentation.
The role demands strong multitasking capabilities, a customer-service mindset, and excellent verbal and interpersonal communication skills to maintain smooth client interactions and case progress. Proficiency in Microsoft Office suite (Outlook, Word, Excel, PowerPoint), Adobe, and CRM platforms like Salesforce is mandatory for effective case management. Experience working effectively under pressure and meeting strict deadlines is also crucial.
We look for candidates who thrive in collaborative environments, demonstrate the ability to prioritize workloads efficiently, and support team efforts through delegation and clear communication. A background or interest in immigration law is highly advantageous to understand case context and requirements better.

Desirable Qualifications

Additional experience or familiarity with immigration law procedures is preferred. Candidates with exposure to document management software and multi-line telephone systems will find it easier to adapt to the firm’s technological environment. Demonstrated ability to work calmly under pressure and effectively manage competing priorities will facilitate success in this fast-paced legal setting.
