About the you and the role:

Sometimes, managing cross functional projects can be a lot like herding cats. We promise we’re pretty well behaved cats here at Passport, but at times we still need a gentle nudge in the right direction.

The Project Manager / Project Coordinator will be an integral addition to our Enterprise Project and Program Management team. The team serves as the central point for cross-functional collaboration and information sharing – think of it as a hub that keeps all teams interconnected in a remote world.

We’re looking for someone who is eager to learn, enjoys creating structure from ambiguity, can execute tactically, and has effective communication skills. You’ll work with stakeholders up to the C-Suite level to help manage, track, document, and report on the complete life-cycle of cross-functional projects that shape the core operations of Passport. You’ll also assist in the maintenance and organization of our internal knowledge (we currently use Notion) so that all teams have easy access to the right information.

If you are excited about the prospect of an ever changing day-to-day depending on the effort at hand, this could be a great fit. An example project may be ensuring that all teams are ready for the launch of a new product. This would include working cross-functionally to facilitate the build out of marketing materials, training of customer facing teams, and that a dashboard is built to monitor performance post-launch.

What you'll do...

  • Ensure all assigned projects are delivered on scheduled timeline.
  • Work cross-functionally to develop project plans for efforts with high impact or that involve more than 3 functional teams.
  • Develop long and short-term plans, including setting targets for milestones and adhering to deadlines.
  • Delegate project tasks to accountable employees and follow up via written and verbal methods.
  • Identify project risks and develop recommendations and reaction plans.
  • Become the project subject matter expert. Serve as main point of contact for all aspects of a project’s organization, timeline, and status.
  • Communicate transparently with leaders and team members to keep the project aligned with business requirements and goals to prevent scope creep.
  • Aid in documentation and process creation, create and monitor reports, conduct necessary data analysis.
  • Organize and facilitate maintenance of company knowledge across teams. Act as a Notion champion.

You have many of the following…

  • 1-5 years of experience, managing projects – inclusive of project planning, cross-functional team coordination, and successful delivery of project deliverables.
    • A project or process management related certification if preferred, but not required.
  • Experience with Excel, Sheets, and/or Tableau.
  • Exposure to various project types including technical driven efforts or efforts complex in nature.
  • You're a problem solver and not intimidated by what you don't know.
  • You're willing to put in the time to learn, and are dedicated to continuous improvement.
  • Excellent written and verbal communication skills.
  • Ability to multitask, while remaining detail oriented.
  • A team first attitude.
  • Ability to adapt and pivot your approach quickly.
