We looking for a full-time executive assistant to help manage our businesses. You will handle a wide range of executive support functions and work independently with little or no supervision, as well as assist with keeping email inbox organized by archiving messages that require no action, unsubscribing from spam, and drafting responses for later review. Don't worry! you will be trained to understand the different lines of business and how the owner impacts each one of them daily.

Job functions

  • Calendar Management: send calendar invites for meetings with complete information and reminders
  • Task Management: help organize owner’s daily to-do list
  • Purchasing: assist researching and buying business and personal purchases
  • Social Media: post content to owner’s social media accounts and reply to messages
  • Data Collection: research
  • Prepare a daily morning agenda/brief to be delivered via SMS/email that outlines essential tasks to be completed on that day
  • Documentation: document standard operating procedures (SOPs)
  • Facilitator of meetings, capturing notes, key outcomes and actions
  • Must be strategic, proactive, solution oriented and work on procedures that demonstrate process improvements

Qualifications and requirements

  • Minimum of 2 years of executive assistant experience with US-based businesses
  • Experience with cloud based phone software
  • Experience with MS Excel and Google Suite
  • Proficient use of CRM software and Google Calendar
  • Reliable internet/WiFi and excellent audio quality with minimal to zero background noise
  • Excellent written and verbal english
  • Must have a strong work ethic and track record delivering results
  • Must have excellent attention to detail.
  • You must be reliable and show up on time.

Conditions

Payment

  • Monthly Base Salary is $1400 USD
  • Payments are processed and sent via Wise or a similar platform at an established frequency (twice a month)

Schedule

  • This is not a flex job - you will begin working 40 hours per week from 8 am - 5 pm Mountain Time (US Hours), 5 days per week Monday through Friday.
