Key Responsibilities

  • Operate and monitor daily operating accounts, ensuring accurate transaction recording and timely reporting.
  • Manage and reconcile trust accounts in line with regulatory and internal policies.
  • Perform regular bank reconciliations; identify and resolve discrepancies.
  • Reconcile credit card statements with internal records; categorize and verify expenses.
  • Assist with fund distributions; ensure accuracy and timely processing.
  • Process accounts payable: receive, code, schedule payments, and maintain organized records.
  • Support payroll tasks: timesheet validation, calculation checks, and disbursement coordination.
  • Prepare and issue 1099 forms in accordance with IRS requirements and maintain year-end vendor records.
  • Track outstanding receivables; perform follow-ups and coordinate collections as needed.
  • Support remote finance operations and collaborate with team members to maintain compliant financial records.

Role Overview

We are seeking an English-speaking or bilingual Bookkeeper Virtual Assistant who is detail-oriented, reliable, and skilled in supporting day-to-day accounting and financial operations. In this role, you will handle essential bookkeeping tasks, perform account reconciliations, assist with payroll, and help maintain accurate and compliant financial records. What you’ll bring: Proven experience in bookkeeping or a closely related role; proficiency with accounting software (QuickBooks, Xero, or equivalent); strong understanding of accounting principles; high attention to detail; ability to work independently and meet deadlines; excellent communication and organizational skills. Experience with payroll and 1099 processing is preferred. Remote work experience and availability to operate within US time zones (PST, EST, CST) are highly valued.

Desirable Qualifications

  • English speaking or Bilingual (English-Spanish)
  • Proven experience in bookkeeping, accounting, or similar financial roles
  • Proficiency with accounting software (QuickBooks, Xero, or equivalent)

  • Excellent communication and organizational skills
