As part of our Shared Services team, the Operations Systems Admin will design and implement scalable systems that support both human agents and digital workers across the Operations org. This role will shape provisioning, access control, identity management, and tooling integrations to enable efficient, compliant workflows for the entire employee lifecycle. You will partner with IT and CX Operations to standardize processes, improve security posture, and reduce toil while ensuring seamless access for onshore and distributed teams. The project scope includes maintaining tooling ecosystems (including Salesforce, Zendesk, Assembled, MaestroQA, Lessonly, Sprout, Autotab, Talkdesk) and driving ongoing improvements to onboarding, offboarding, and access governance.

Responsibilities

  • Own day-to-day user provisioning, deprovisioning, and role changes across the Operations tooling ecosystem, ensuring timely and compliant access for both FTE and BPO users.
  • Manage credentialing workflows end-to-end, validating requests for completeness, proper approvals, and policy alignment.
  • Serve as the primary point of contact for tooling access requests submitted via the internal Jira queue; triage and resolve low-complexity tickets; escalate high-impact issues promptly.
  • Maintain accurate access records, license inventories, and role mappings to support audits, cost management, and security reviews.
  • Coordinate SSO/Okta provisioning with IT and enforce least-privilege access standards.
  • Execute onboarding/offboarding for all users across Salesforce, Zendesk, Assembled, MaestroQA, Lessonly, Sprout, Autotab, and Talkdesk; monitor for issues and improve processes.
  • Participate in incident response by documenting and escalating P1/P0 tooling incidents through defined channels.
  • Identify inefficiencies, propose improvements, and contribute to standard operating procedures for provisioning and access.
  • Engage in scheduled access reviews, internal audits, and data handling assessments involving PII; maintain operational discipline across tooling workflows in line with CX Operations and WFM policies.

What you will bring

We are seeking a detail-oriented, process-driven professional with a background in Operations, IT support, or CX tooling environments. The ideal candidate has hands-on experience with SaaS administration (user provisioning, role management, access control) and working knowledge of SSO/identity platforms (e.g., Okta, Google Workspace). You should be comfortable handling confidential or PII data and communicating effectively in English within a global team.

Key competencies include strong organizational and documentation skills, ability to manage multiple requests concurrently, and a proactive approach to problem-solving. You should be comfortable operating in a fast-paced, hybrid work setting and collaborating across cross-functional teams to improve tooling and processes.

Nice-to-have

Experience with CRM or CX platforms such as Salesforce, Zendesk, Assembled, MaestroQA, or Talkdesk. Familiarity with automation tools or scripts (e.g., Workato, Zapier, simple Python/Google Apps Script). Prior experience supporting distributed or BPO workforces. Ability to contribute to process documentation or internal tooling playbooks. Strong collaboration skills and a track record of working effectively in cross-functional environments.
